Home Inventory - FAQs

How important is a Home Inventory? The Home Inventory is one of the most important documents of any tenancy. It describes the contents and condition of the fixtures and fittings left in a rented property. It is the only way to evaluate the state of the property at the beginning and end of a tenancy and therefore, it is the only way to determine how much disrepair and damage may have been caused by a tenant during their stay.

When should the Home Inventory be Prepared? A Home Inventory should be prepared every time a property is let and as close to the start date of the Tenancy Agreement as possible. You should make the Home Inventory factual and it should be agreed and signed by both the Landlord and Tenant at the start of each tenancy agreement.

How should the Home Inventory describe the Property? A Home Inventory should describe the property accurately and fairly to be able to assess the liability of damage or dilapidations during the tenancy. Without an accurate Home Inventory being created at the start of a tenancy agreement, it will be near on impossible to claim any damages back from the tenant at the end of the agreement.

How do I create a Home Inventory? Download our Inventory Draft Template, in both Word and Excel format, print it and take it to the property to rent. Fill in the boxes in each room described in pen / pencil. Include the colour, make, size and any other identifying features of anything and everything that can be damaged or removed from the property.

Should I include Photographs in my Home Inventory? YES you can. It is a good idea to use a second object in the photograph such as a ruler when you are illustrating the size of an item in the photograph.

Do I need to record the Meter Readings? YES, it is important to record the meter readings for the utilities and note on the Inventory where the meters are located. You should also record the Serial numbers of the meters.

What is a Tenant Check In? We recommend that on the day the tenancy agreement is due to start, you meet the tenant at the property to carry out a simple Check in Report. This is a perfect opportunity for both you and the tenant to go through the Inventory in detail and discuss any issues regarding the property. You must ensure that the Tenant signs the Inventory on Check In. If you are unable to meet the tenant on Check In, you must send the tenant a copy of the inventory and request that they sign it and return it to you within 5 working days.

What is a Tenant Check Out? The Check Out is the day that the agreement usually comes to an end and the tenant hands back the keys to the Landlord or Letting Agent. This is an opportunity for you to ensure that the condition of the property is the same as when the Tenant first started the agreement. You should go through the Home Inventory carefully with the tenant and note down any comments. The Inventory should then be signed by the tenant to confirm that they are satisfied with your comments.
